AI PRODUCT PILOTS / BUYER GUIDE
What should you include in a first AI app pilot?
The first AI app pilot should buy evidence, not an unlimited feature list. Agree on one user journey, permitted input, a useful result and observable acceptance checks. Separate the cost of building it from the cost of operating it.
This checklist helps a small business compare proposals and avoid surprises after the demo. It is not a fixed-price offer or a promise of a particular commercial result.
Put the scope on one page
Before asking for a quote, write down the user, their current task and the result they need. List what they can provide and what must not be collected. Name the tools that need connecting and who can authorize access.
Include a short exclusion list. A first document-intake tool does not necessarily include payments, automatic decisions, every file format and an entire customer portal. If a feature is outside the agreed first path, move it into a later option rather than leaving it implied.
Buy three visible milestones
1. A confirmed brief. Agree on the workflow, examples, data boundaries, responsibilities and acceptance checks. Resolve unknown access or integration requirements before treating them as included.
2. A working first path. A person can provide the agreed input, inspect the result and understand what to do when something fails. Use synthetic or authorized examples for demonstrations.
3. A handoff you can operate. Define deployment, the agreed deliverables, credentials ownership, documentation, support boundaries and what changes require a new estimate.
Choose payment milestones and acceptance periods in the written agreement. They depend on the actual project; a short introductory conversation is not a production contract.
Inspect the result, not only the pitch
Our InterviewCoach demo is an example of a short AI mobile workflow: background, questions, answers and a review. Its Android app provides another way to inspect the product.
This is our own demonstration product, not a claim that your future app will have the same cost, scope or business outcome. Its marketing footage uses illustrative QA data and AI narration, not a customer testimonial.
For your pilot, ask for a walkthrough of the whole agreed task. Include incomplete input and an interrupted request. A successful chat reply should not be the only acceptance evidence.
Separate the five cost buckets
- Discovery and scope: what needs understanding before implementation.
- Build: the agreed app, workflow and integrations.
- Infrastructure: hosting, storage, backups and monitoring.
- Usage and licences: model APIs and any third-party services.
- Operation: maintenance, support and later changes.
Application hosting on your own server does not remove external model charges. Ask which data leaves the environment, who owns the provider account and which controls limit usage. Read our self-hosted AI guide if this boundary is important to you.
Do not confuse maintenance with a new build
Our existing managed operations service starts from US$600 per month for one agreed system and up to 15 approved hours. New application builds, hosting, API usage and licences are separate. That support offer is not a US$600 promise to create an entire mobile app.
A new pilot needs a scope-specific estimate. We can discuss a limited starting point, but we should not hide essential work simply to produce a smaller headline price.
Decide what success means after launch
Choose a measure linked to the actual task: a useful completed session, fewer confirmed corrections or an accepted handoff. Define how it will be observed and which person reviews it.
Downloads, page views and contact clicks are useful signals. They do not prove revenue. A pilot can reveal that the problem needs a different solution; that is still useful evidence when the work is bounded and the records are clear.
