A SMALL-BUSINESS DECISION GUIDE

Does your small business need self-hosted AI?

Usually, not as the first step. Start with one repeated task, a clear result and a named owner. Choose self-hosting only if control, integration or data rules make the extra responsibility worthwhile.

Why hosting alone does not solve the business problem

Your team may spend time copying information, searching old messages or checking an automation that failed. Moving a chatbot to another server does not automatically fix those handoffs. The first useful question is: which task should work better, and how will you check it?

If you already have one task in mind, see how a scoped AI workflow can start.

When a simple API workflow is enough

If the rules are clear, direct integrations may be cheaper and easier to maintain than an AI agent. A website request can create a customer record, assign an owner and alert your team without asking a model to make every decision.

When self-hosting can help

Consider it when you need controlled access, custom integrations, a documented environment, or a clear place to keep project knowledge. Then plan updates, backups, logs and recovery as part of the work. A server without maintenance is another system your team has to look after.

What data actually leaves the server?

The workspace can be self-hosted while a cloud model still processes the text you send it. The same is true for email, CRM and other connected services. List each destination, the data it receives and the approval required. Do not describe that route as fully local unless it really is.

What does the first scope include?

  • One input and one expected result
  • A named owner and permitted tools
  • Examples with missing or conflicting data
  • Approval before a sensitive external action
  • A way to verify success and recover from failure

What should the costs include?

Separate implementation from hosting, software licences, model/API usage and ongoing support. Our existing one-workflow review starts at US$150. Monthly support starts at US$600 for one agreed system and up to 15 approved hours; new deployment and larger work are quoted separately. These are starting scopes, not an unlimited AI platform package.

What should you measure?

Compare the time to complete the same task, the number of corrections and the reliability of the handoff. Track actual paid work separately from website clicks. A free introductory call helps choose the first task; it is not a promise of savings.

Your next step

Write down one repeated task, the tools it touches and what a successful result looks like. You can start with n8n setup or repair, or discuss a self-hosted AI workflow if AI has a clear role.
